Mastering the use of Microsoft Teams Custom Emojis is essential for injecting personality into your chats and ensuring productivity in the Microsoft 365 ecosystem. However, confusion often arises regarding how to upload Microsoft Teams Custom Emojis or manage this feature. You’re not alone. Therefore, this guide will demystify access management and show you exactly how to gain fine-tuned control over your sites.

How to Upload Your Own Custom Emojis

Adding custom reactions is surprisingly straightforward and can be done right from the chat window.

Step 1: Access the Emoji Menu

  1. In your Teams chat or channel, click the Emoji icon (the smiley face) found in the message drafting area below the composition box.
  2. The emoji, GIF, and Sticker panel will appear.Access the Emoji Menu Microsoft Teams Custom Emojis
Step 2: Navigate to Org Emojis

  1. In the emoji panel, look for the “Your org’s emojis” tab (usually at the bottom or near the other categories).
  2. Click the plus sign (+) or “Add emoji” button.
Step 3: Upload Your Image

  1. A file window will pop up. Note: Teams usually looks for specific file types (like PNG or JPG), so you may need to select “All Files” to find your image.
  2. Select your desired image (e.g., a popular meme, a colleague’s shocked face, or a Grumpy Cat image).
  3. Give the emoji a name (e.g., “Grumpy Cat” or “Greg Shocked”). This name will appear when users hover over it.
  4. Click “Add emoji.”

Once loaded, the new custom image is immediately available for use in your messages and as a reaction to existing messages across your entire Teams channel.

Teams Etiquette and Administrative Control

While custom emojis are fun, they introduce potential risks. You must consider Teams etiquette we’ve all seen a meme or GIF that wasn’t quite work-appropriate. Because of this, some organizations disable the feature entirely.

If you are a Teams Administrator, you have complete control over custom reactions via the Teams Administration Area and Messaging Policies.

Administrative Control Description
Turn Feature On/Off You can globally enable or disable the custom emoji feature across the entire tenant.
Set Creation Permissions You can specify which users or groups are allowed to create and upload new emojis. This is crucial for governance and quality control.
Set Deletion Permissions You can determine which users have the ability to delete custom emojis from the organization’s library.

Important: If an employee creates an emoji, it may be immediately locked and available for continuous use across the organization unless an authorized admin deletes it. Use the creation policy wisely!

Bonus: Customizing Teams Stickers and Memes

Beyond simple custom emojis, you can also personalize built-in stickers:

  1. In the message composer, click the Sticker icon (the square with the peel).
  2. Click “See all” at the bottom.
  3. Look for sticker packs that have a little pencil icon next to them (like “Office Drama” or “Meme”).
  4. Select a template and use the top and bottom text fields to add your own captions.

This allows you to create customized, context-specific comics or memes using pre-approved, work-appropriate templates, further enhancing communication in your Teams environment.
